You are kindly requested to read carefully the following terms and conditions before proceeding with any booking request. Also please consult the terms and conditions that they are mentioned in our packages and all relevant documents/computer software. In no circumstance whatsoever must any Agent or Airline disclose our rates to other Agents, Airlines or Hoteliers. We will regard such an act as an infringement of our working agreement and would have no option but to cancel all reservations held and cease working with such an Agent or Airline.

BOOKING PROCEDURES
Travel Agencies and Airline companies may proceed with booking requests through “S.T. Globe® Online Bookings ®” or by fax/email.
It is entirely at Special Tours Wholesaler's® Ltd will to deny access to selected services, countries and/or hotels in order to protect the confidentiality of the rates and the pricing policy of its suppliers.
Bookings are subject to availability at the time of request.
Twin rooms contain two beds. Rooms with a double bed are available upon request. Single rooms contain one bed. Twin or double room for single occupancy is available upon request, by paying the corresponding difference. Triple rooms are basically twin rooms with an extra bed. In many destinations, such as U.S.A. Canada, Mexico, Caribbean, rooms contain two double beds (French type) and accommodate 2, 3 or 4 persons. All rooms have private bathroom or shower. The hotel will decide which room to give the client upon arrival, except if a special room category is booked/prepaid.
For bookings for clients traveling with children you are kindly requested to book a suitable type of room officially provided based to hotels constructive capability (i.e. TWCHD , family room, quads etc) or extra number of rooms depending on the number of children /size of family as no extra beds can be usually provided upon arrival.
In case of bookout, Special Tours reserves the right to substitute the confirmed overnights with equal or superior ones with no other compensation on our behalf.
At the process of a confirmed reservation, the hotel reserves the right to inform about a book out situation. In such a case the hotel is obliged to offer accommodation in an alternative hotel of similar/higher category. Special Tours Wholesaler Ltd Athens/ London, provides all the support and assistance for the best possible solution, however cannot be held responsible for the book-out situation.
NOTE: Any request, apart from Greece, within/outside Europe received 24/48 hours respectively before the client’s departure is handled by our “VIP Service ® ” dept. only and not by the F.I.T. reservation dept.
Passenger nationality declaration is mandatory at the time of the request/booking & must be in accordance to the passenger passport. Faulty or no declaration may occur unwilling consequence’s for which STW holds no responsibility. Furthermore if any financial damage may occur because of nationality faulty or no declaration, will be covered by the clients/agents towards their customers or STW in full.
In case a double plus child or twin plus child is booked, a third bed is not guaranteed. If an extra bed is required, a triple room must be booked.
VIP SERVICE
This unique department covers both high level services and last minute reservations.
V.I.P® reservations that are requested through S.T. GlobeR Online Bookings and that are confirmed immediately from our available allotments will be free from HANDLING FEES, unless you ask a Special Tours Wholesalers® member of staff to intervene in the booking.
Each VIP booking placed extra from any available allotment is subject to EUR 5 per person for worldwide bookings and 2 EUR person for bookings within Greece, whether we will confirm the space or not regardless whether the client makes use of the requested services or not.

The "VIP Service®" dept. is handling the following:
- Reservations for hotel accommodation and at least one additional special service, such as limo transfer, executive car at disposal, flowers or/and wine in room, secretarial services, theatre tickets etc.
- Reservations within Europe one working day (MON-FRI) ** before the passenger's arrival.
- Reservations outside Europe two working days (MON-FRI) ** before the passenger's arrival.
- Reservations requiring immediate answers and special attentions.
**Public Holidays are not considered as working days.
TEMPORARY ACCESS INTERRUPTION 
Special Tours Wholesalers® Ltd can interrupt immediately the access to the STGlobe® On Line Bookings System if:
1. There is a Payment Delay or
2. Special Tours Wholesalers® Ltd believes that misuse or abuse of the STGlobe® On Line Bookings System being caused, allowed or provoked by the Client or behalf of the Client or
3. The Client attempts unauthorized alterations on the STGlobe® On Line Bookings System or malfunction.
4. Client ‘s access on STGlobe® On Line Bookings System causes downgrading on the System or malfunction by the use of STGlobe® On Line Bookings System from other users or clients or causes a situation that can lead Special Tours Wholesalers® Ltd in a probable or real violation of the agreements with third parties.
If the access on the STGlobe® On Line Bookings System is temporary suspended due to one of the above-mentioned reasons, Special Tours Wholesalers® Ltd will notify Client the soonest possible. Client must restore the downgrade or malfunction or any other problem caused within 48 hours. If the restoration does not take place within the above-mentioned deadline, Special Tours Wholesalers® Ltd has the right to terminate the agreement to the Client or any other third party.
Scheduled Access Interruption. Client recognizes and agrees that Special Tours Wholesalers® Ltd has the right to interrupt the STGlobe® On Line Bookings System function due to maintenance reasons in several scheduled occasions without any obligation by Special Tours Wholesalers® Ltd to compensate the Client.
HOTELS 
Hotels listed in our tariff are chosen by taking into consideration their classification, location and price. The hotel’s classification in stars mentioned in our tariff/packages/advertising brochures, is the one stated by the hotel itself and it is possible to be changed at any time.
Remark:
All hotel information described in our tariff, is subject to change during the validity of the issue. For more information, please contact our office. Check-in and check-out time is normally at 12 o’clock noon, regardless of the passenger’s arrival or departure.
TWINCHD ROOM BEDDING
Extra bed providing to the TWINCHD type of room is subject to the room configuration of the hotel and/or age of child , otherwise child will share parents bed.
SPECIAL EVENTS 
Fairs/Exhibitions, Symposiums, Congresses, Religious-Athletic and Artistic events, Carnival, Easter Christmas and New Year are considered as special events.
EXTENSIONS
Any extension of the passenger’s stay must be requested at least 24 working hours before the check-out date and it will be valid only if there is availability at the hotel. Confirmation of the same price is possible only after receiving it from our supplier. You are kindly requested to inform your clients accordingly before their departure.
TAKE OVER
In case of take over, you should reconfirm the prices. The prices listed in our tariff are valid only if the original reservation has been made through our office. We do not take over bookings for passengers already staying at the hotel.
VOUCHERS 
All vouchers issued by our office mention the Agency’s/Airline’s name or logo.
PRICES 
All prices are in local currency and EURO, unless otherwise specified and are valid for Travel Agents and Airline companies only. Rates must be used for the creation of package programs and not to be displayed naked. Payments should be done in Euro, converting any other currency into Euro by using the exchange rate of the day of the booking. This exchange rate is mentioned on each booking.
Prices (unless marked as “S” - Special Event or “COR” - Corporate) are only valid for leisure travel; it must be clearly stated upon reservation if clients are on business travel, otherwise the hotel has the right to charge on the spot the difference between NET-CORPORATE or NET-RACK rate. Fair/Exhibition and Special Events’ prices may be higher than the rack rates. They are also higher, for the same periods, if offered rooms derived from commitments. All rates are net net per room per night.
During Fairs/Exhibitions and Special Events a minimum stay is required where you will be advised accordingly upon request. All rates include VAT and hotel service charges. All prices for European hotels are quoted on BB basis, unless otherwise specified. All rest hotel prices are quoted on RR basis, unless otherwise specified.
Rates are valid for F.I.T. business only and up to 9 pax per hotel and similar dates. Hotel has the right to cancel bookings made for more than 9 pax from the same Agent and similar dates or to modify rates and booking conditions. For groups of over 10 passengers, competitive prices could be offered upon request.
Hotel prices with the indication “W” offer weekend rates for the specific period and with the indication “S” Special Event rates.
All prices are subject to changes without previous notice. Confirmed prices are guaranteed until the option date.Transfer prices include 01 hour maximum waiting time; after this hour the vehicle will be released and new charges will apply. A 30% supplement will apply on all transfers taking place between 21.00 – 07.00, as well as during Public Holidays and Weekends.
Weekend rates are not valid during Fair/Exhibition and Special Event periods.
Fair/Exhibition and Special Event change of dates, on behalf of the organizers, effect accordingly the hotel rates.
Any special offers of free nights, i.e. stay 3 pay 2 etc. are not cumulative and can only be used once.
Also, cannot be used in conjunction with any other promotions for the same hotel during the requested period.
Kindly note indicated/confirmed rate is valid exclusively for each reservation, according to relative criteria and time of booking.
Rate and rate conditons might vary on a later time of request or should any amendment(s) occur.
PAYMENT CONDITIONS 
Our office must receive full payment at least 3 working days prior to the passenger’s arrival date, unless special agreement, regarding credit facilities, is in effect. Late payment will result in automatic cancellation of the bookings. In case a pre-payment or a down payment is required (Fairs/Exhibitions – Special Events) you will be advised accordingly and any credit facilities that might be existed will not be valid.
PAYMENT BY CREDIT CARD
The Principal guarantees all credit card payments.
The credit card to be used should be either Principal's personal card or company's credit card (VISA or MASTERCARD ).
In any case and under any circumstances should The Bank refuses to pay any amount for the particular reservation(s), or refunds the Card Holder without our written approval, the Principal has to pay the total of the reservation(s) according to our Terms of Cooperation.

CANCELLATION CONDITIONS 
Cancellation deadline is indicated next to each hotel price (“D/L”, in working days before client’s arrival, until 16:00 hours local time), unless otherwise specified on our booking confirmation. Local time is GMT+02:00.
Out of Special Event period:
Any confirmed-booking cancellations that are received after the above mentioned options/deadlines will result from one night/service cancellation fee up to the total cost of nights/services arranged for the clients stay.
In case of early check out or Non-Show, the total cost of the nights /services booked will be invoiced, unless the Hotelier / Supplier has accepted and signed differently. Refunds are ONLY possible upon presentation of this Hoteliers / Suppliers confirmation.
During Special Event period:
All requests will be confirmed with an option date. You must reconfirm and prepay the booking in question prior the option date, otherwise the booking will be cancelled automatically. In case of a cancellation after we receive your reconfirmation, a 100% penalty on the total amount will apply.
During special events a minimum stay is usually required. You will be advised accordingly by the time of confirmation.
For 1 and 2 above in chapter “PAYMENT CONDITIONS” and if payment is not performed within the defined time limits, the booking will be cancelled automatically without any further notice.
Cancellations For Greek Hotels
G.N.T.O. (E.O.T.) permits hotels to charge up to 100% of the whole stay reserved for any accommodation nights not used no matter the reasons or circumstances.
You are kindly requested to inform your clients before issuing the Voucher. We remind you that any refund is possible only through written approval and authorization of the Hotelier.
Concerning Fairs and Special Events: Limitations apply, depending on the occasion.

You can also place your request filling in our Group request form online (after log-in) choosing GROUPS button on the left toolbar. It will open a mask where you can easily choose the country/city/hotel/dates…etc just as you do when searching for hotel pricing. At the Remarks you can add your comments or any further requirements. At the Contact you can mark the name and mail or fax of the person expecting our reply in your office. Pushing the SEND button we receive your request. Minimum required pax number for groups is 10. Group’s PNR is not shown in our online system.

All confirmations where hotel space is held will specify an option deadline and it is the client’s responsibility to respond within that deadline. If no response is received then the space will be automatically released.

Cancellation deadlines subject to our supplier conditions and are clearly stated in our confirmation. Any group cancelling after this deadline or making large reductions may be liable to full cancellation charges.

Any group being requested within the cancellation time frame will be offered as usual with an option deadline if space being held, once accepted full charges will apply as above if the group should subsequently cancel.
Our group tariff contains hotels throughout Europe. These hotels have strong allotments and good group rates and will therefore provide your best chance of getting the best price and availability.
All rates are valid for groups of 10 or more passengers and are quoted in euro per person per night and subject to availability. All rates in our tariff are applicable strictly to leisure travel. Group rates for single sex, incentive, business, student, children or only SGL room groups are on request basis. Supplements may be required for groups that are deemed to be business rather than leisure in character. Triple and quad rooms are offered strictly subject to availability. In many cases hotels may only offer twins with foldaway beds as triples or quads.
You may quote the client on a 'subject to availability basis', based upon the rates provided in the tariff. All rates include tax and minimum continental breakfast. The exact breakfast type is available upon confirmation of the group.

Where we cannot secure the requested space we will offer an alternative hotel and applicable prices.
For groups requiring rooms during Trade Fairs or Conferences the hotel tariff is not applicable. You can base your quotation on our FIT rates as per the STW online. Once your quotation is accepted send, your confirmation request to groups@stglobe.com and we will advise availability and final pricing in the normal manner.
Destinations which are not included in the tariff to be sent to groups@stglobe.com. If a specific hotel is required that does not appear on the Group tariff please send a request to groups@stglobe.com where space and rates will be checked for you.
Hotel rooms are not held at quotation stage. We require your written instruction to proceed with reservation either by fax, or email.
All changes to the itinerary should be confirmed to STW in writing.
Hotel accommodation is offered strictly subject to availability. Upon receipt of your written instruction to proceed with reservation we reserve the right to offer alternative hotels should those quoted not be available or subject to an unforeseen price increase. For single city stays the prices we offer are valid only for the hotel quoted, should the quoted hotel not be available at time of reservation we reserve the right to charge a supplement should the only available alternative be higher priced.
Child reductions applicable according to individual hotel arrangements. Where valid, child reductions will apply only to 2-12 year olds inclusive when sharing a room with 2 full paying adults based on existing bedding. Any hotel where child is not free below 12 years of age will apply a triple rate for that child.
Full prepayment is required five weeks prior to departure. We reserve the right to cancel a group booking if payment is not received within this time period.
Payment should be made in the currency quoted.
STW will do everything possible to ensure that your group has a successful end enjoyable stay. It is unfortunate that problems can occasionally happen. Please ensure that your passenger know how to contact us. We must be given the opportunity to resolve a problem as soon as it occurs and before the group returns home. If STW is deprived of the opportunity to investigate and resolve a problem whilst the group is still travelling, we cannot accept any responsibility for future claims.
Any increase in passenger numbers at the last minute have to be paid immediately. We can’t guarantee for any accommodation for extra passengers we haven’t been informed about prior to arrival.
Cancellation charges of 100% may occur if cancellation is received less than 4 weeks prior to arrival or within any exceptionally agreed deadline. Neither STW nor yourself want to incur any cancellation fees whatsoever. To avoid them any cancellation of services must be communicated in writing to us at least one month before the arrival of the group. STW will only pass on any cancellation charges that are levied by our suppliers. However, we must charge in full for any no-shows.
We reserve the right to amend prices should a fluctuation of more than 3% occur in the relevant currency rates of exchange. Exchange rates are determined by STW.
Early check-in or late check-out from hotels cannot be guaranteed without a supplement.
STW is not liable for damages, delays or defaults caused by conditions beyond its control including, but not limited to Acts of God, Government restrictions (including the denial or cancellation of any necessary license), wars, insurrections, natural disasters and/or any other cause beyond the reasonable control of the party whose performance is affected.
Rooming Lists
4-6 weeks prior to arrival a provisional room list must be sent to STW together with flight details and total no of rooms to be held inc. TBA
2 weeks prior to arrival the final room list must be sent to STW and any final reductions made, any reduction / cancellation of rooms after this point may incur cancellation charges.
Payment Procedure
All group operations work on pre-paid basis.
STW requires deposits on Go Ahead groups. Amount will be advised at time of confirmation together with any payment deadlines and other terms and conditions.
Non-refundable deposit will be collected from clients to serve as a guarantee that the business is definite.
Cancellations after this stage should only be in exceptional circumstances and will need to be discussed in each case.
STW will require clients to settle all invoices within one month of the group’s arrival date.
Immediately the outstanding balance on an account exceeds the pre-paid amount then we will require an immediate payment to bring the balance back.
Vouchers are to be given when group is fully paid.
Any further service during the group’s stay will be charged to the client on the spot unless otherwise agreed. For full credit rooms client has to settle a guarantee amount to STW. Service is available on a certain commission.

Groups of less than 10 passengers
If the number of passengers on the group falls below 10 at any stage, this will no longer be classified by a group and whilst the groups dept. may agree to continue servicing the booking, however it may be liable to re-pricing and price increases.
CREDIT CARDS
The majority of the hotels, internationally, have established a policy to request the clients’ credit cards as a guarantee for the payment of their EXTRAS. You are kindly requested to inform your clients that they should be very careful and check the bills before signing them and not to accept, under any circumstances, charges for prepaid services described on their vouchers.

Vaccination that may be required in some destinations or during specific periods is at the passenger’s responsibility and expenses.
CLAIMS 
Any problems that may occur during the passenger’s stay must be reported immediately to Special Tours Wholesalers® Ltd, in order for us to try our best and fix, where possible, the problem.
All claims must be reported during the passenger’s stay to the person in charge, in writing and in every possible detail, a copy of which should be given to Special Tours Wholesalers® Ltd the soonest. All claims will be carefully examined and answered within a reasonable period of time.
RESPONSIBILITY 
Special Tours Wholesalers® Ltd, acting as an organizer, declares to be an intermediary between the passenger and the organizations providing the services included in our Tariff (transportation companies, hotels, airlines, etc.). Special Tours Wholesalers® Ltd, is understood to be responsible for any action or omission of its personnel, but of course has no liability for any embargoes, injury, damage, loss, delay or irregularity caused to the passenger by cancellation or interruption of the trip due to bad weather, strikes, war or any other cause beyond its control.

TRANSACTION TERMS ACCEPTANCE 
Issuance of a voucher by our office means simultaneous and with no hesitation acceptance of all above-mentioned terms and conditions.
APPLICABLE LAW – JURISDICTION 
The Greek Law governs the present conditions. In all cases, competent courts for the settlement of any dispute are the courts of the city of Athens.
