The choice
BOOKING LIST is the archive of your reservations with SPECIAL TOURS WHOLESALERS® Ltd. Here you can find the reservations of which you don't remember the PNR.
By clicking on
BOOKING LIST choice from the MAIN MENU a reservation list like follows will appear:

This list can be sorted by any criteria, depending on which one you choose by click on each column title. This could be by
Reference, Type, Status, Option, Date In or Leader Name.
Each one of the PNRs has a button
VIEW on the right. By clicking it you wil be redirected in the "
PNR View" tab.
As you can see, some of the
VIEW buttons could be
orange. It means that in the specific PNR some changes applied for which you are not informed yet. You will have to enter these in order to see the changes.
For example, you might have made a reservation which is status
ON REQUEST. When this booking become
CONFIRMED or
ADVISED, then the button
VIEW will be orange till the moment you will enter the reservation and see the update.
Within the "
Criteria" tab you can choose several criteria for your bookings' search such as
Counter, Service Status, Leader name or even a keyword you probably entered in
Memo.

In case you don't remember the PNR and you need the ST-Online to find the specific reservation, it asks you to give some details in order to make the search easy.
You can give only one of the details, for example
LEADER name or even make a combination. For example
OPTION DATE, DATE IN, DATE CREATED, a free text you entered on reservation
MEMO KEY or
SERVICE STATUS. Also from here your office administrator can choose the bookings of your office filtered by user (
COUNTER), when there is more than one.
In
SERVICE STATUS there are 4 categories from where you can choose:
- OPERATIONAL reservations not yet invoiced
- SOLD reservations invoiced
- CANCELED
- REJECTED
Choosing "
SET AS DEFAULT" will save the present criteria as default so every time you login to the system and view Booking List, it is selected automaticaly. Choosing "
GET DEFAULTS" retrieves the saved criteria without login out of the system.
View Deadlines
With this choice only the reservations with option at the present day will appear.
View Changes
Only the changed PNR which you did not check yet appear and the "
View" button is orange.
Voucher Dates
You can make a search within a voucher issue date range.
PNR Information

It contains PNR information as for example the booking Ref. which is the ID of each booking. Another very important element is the
OPTION DATE given when the reservation is confirmed and refers to the last date you can issue voucher and so reconfirm the reservation or the last date you can cancel without fees.
Service list

Here you can see the services containing in the specific PNR. This example has one service. In each service regarding hotel there are red buttons that allow you to interfere with your booking.
- Amend for example change dates or hotel.
Attention:
- The user cannot do any changes in a service after the voucher issue. In such cases you will have to communicate with SPECIAL TOURS Reservation Dept. within the PNR using MailQ function
- The procedure the ST-Oline follows in case of amendment is the following: Cancellation of the existing reservation and afterwards request with the new elements. This practically means that even if for example the new dates you require are included in the old stay, the system does not guarantee that they will be available. So, in cases like on this example where you do not want to loose the original reservation before having confirmed the new one, it is advisable for you to use "Add Service" or "Copy" actions which we explain later.
- Cancel service. Active only while the reservation is still active too (not canceled or when voucher issued)
- Info You get and print if you like information regarding the hotel booked, as address, facilities, photos, map etc.
- Voucher You issue voucher with the options to print it or send it by email to the email address declared in the Settings by each user, so you will be able to forward it wherever you like. Also there is an option to save it to your computer or network as an Adobe® Acrobat (PDF) file
Note:In case you need to add your office logo to the voucher you can do it from Settings.
- Copy starts a New Booking process, with the same selections as the given service (Country, City, Hotel, Dates, Rooms). Very efficient if you want to add other type of rooms in the given PNR
Also there are the following buttons and links:
- Add service to the existing PNR. This means that if you have a client that travels for example first in Rome and then in Paris, YOU MUST NOT CREATE TWO PNRS, but when you will finish the booking for Rome then you click on button ADD SERVICE and continue to the booking for Paris. Also it is useful in case of dates amendment as we explained above. This function is disabled when all services in PNR are cancelled
- Print PNR You can print all your PNR in order to keep it to your archives.
- Pay this booking via Credit Card You can pay for the reservation on-line with credit card. When you click on this button the following form appears:

Here you have to choose at least one payable service in order to proceed with payment. After selecting, click "Next" button to continue.

In this form you must complete all the fields to be able to proceed. Also you are able to choose your payment's number of installments (only if your credit card supports this facility, which is confirmed at the next step). By clicking "Proceed to validation" your card is being validated.
PLEASE NOTE: If your credid card supports "Authentication" you might be redirected at your issuers' page for this step.

Next you see the final page where all the information before the charge is displayed. Here also is displayed the amount of installments that are supported by your card. Please take a minute to check everything is ok, and then click "Proceed to payment". If you want to change anything, click "Select other services" to start over the procedure.

Once you continue, your payment information is send to the bank and processed. If your payment is completed, then you will receive the above information, that you should write down for any later use.

In case of any problem regarding the card, ST-Online returns the above message which mentions some possible reasons why payment was not possible and also the abilities of "Select other services" where you can choose different services to pay, and "Use another card" where you can try the same payment with another card.
File accounts

Here you can see detailed analysis of the net rate regarding every PNR service as well as the total charge to you. Again you can add your profit for as-you-type automatic calculation of the amount you wish to charge to your client.
Passenger list

You see the names included in each PNR. Here you have the option to change or add new names (maximum total of 9 in each PNR).
- Edit PNR Names Click on this link and the following form appears where you can ask for name change. With "Save Changes" name change is requested waiting to be confirmed by our reservations, with "Cancel Changes" any action is ignored.

After the name change to the field and click on "Save Changes" the "Passenger/Room List" appears as follows:

With a mouse-over to the yellow triangle as shown in the above example you can see which is the new name you requested to replace the old one.
Attention:Every name change is completed only after the confirmation from our Reservation Dept. which handles the PNR. In this case the new name will appear replacing the old one and the yellow sign on "Pending" column will disappear.
- Add PNR Names Click on "here" link and the following form appears where you can add more names into the PNR, giving you the ability to add more rooms for different clients in the same PNR. With "Add Passengers to PNR" the names will be added and with click again in "here" link any action is ignored.

MailQ
Through MailQ you can communicate with the counter who is in charge of your reservation. By clicking the button "
New Mail", writing your text and choosing "
SEND", your message will be transmitted and read by the reservations.

You have to check often the ST-Online mail box as through this you receive information regarding your reservations.
